Calendar and Zoom Integration

Connecting your Google Calendar and Zoom accounts lets Innovation Within automatically show upcoming meetings, import recordings, and generate transcripts and insights so you can focus on discovery conversations instead of managing files.


Step 1: Connect Your Google Calendar

  1. Go to the Calendar block on your Home page in Innovation Within.
  2. Click Connect Calendar.
  3. When prompted, choose the Google account you want to connect.

  4. Review the permissions and click Continue to allow access.

  5. On the next screen, check the box to allow Innovation Within to view events on your calendars, then click Continue.

You’ll then see a success message:

"Success! Your Google Calendar is connected. You can now see upcoming events.”

Step 2: Connect Zoom

Once your calendar is connected, you’ll be prompted to connect Zoom.

  1. Click Connect Zoom.
  2. Sign in to your Zoom account and approve access when prompted.

You’ll then see a success message:

“Success! Your Zoom account is now connected.”

  1. Click "Got it" to view your Calendar and select meetings to sync.

Step 3: Set Up Recording in Your Zoom Account

To automatically import and transcribe your recorded meetings:

  • You must be the meeting organizer and you must record meetings to the cloud.
  • Remember to click Record when your Zoom meeting starts or set up auto recording in your Zoom account preferences.

Step 4: Select Meetings to Sync

To automatically import recordings, toggle on the meetings you want to sync from the Calendar tab.

This will create a new interview for you to use like any other interview in the platform. The only difference is your cloud recording will be auto uploaded when your meeting concludes.


In the Calendar tab your synced meetings will show as scheduled.


Your calendar will show updates as your interview is in progress, processing, and finally when it has uploaded.

In the Cloud Recordings tab you can see all of your scheduled, current, and past meeting recordings.

What Happens Next

Once both integrations are connected:

  • Your upcoming Zoom meetings appear automatically in the Calendar tab.
  • After meetings end, recordings are imported and transcribed automatically.
  • Transcripts and insights are linked to the relevant Canvas hypotheses and added to your Interviews feature making it easy to manage and analyze all discovery conversations in one place.

Troubleshooting Tips

  • If you don’t see your events, try refreshing the page or reauthorizing Google Calendar.
  • Make sure the Zoom account you connected is the same one used to host your meetings.
  • If a recording doesn’t import automatically, you can always upload it manually in the Interviews feature.
